COMPLIANCE
Global Languages provides a secure communication channel for reports of acts or actions that do not comply with our principles, as well as the company’s Code of Conduct, current legislation or ethics.
To register a statement or complaint, simply fill out the form in detail, reporting what happened as comprehensively as possible, always being honest and responsible with the truth of the facts.
By communicating and reporting you help the Compliance team to investigate what happened, and we guarantee total secrecy, integrity and care when dealing with complaints, whether they are in violation of the ethical guidelines of the company’s Code of Conduct or in relation to current legislation.
PRINCIPLE OF NON-RETALIATION
As per the Ethical Conduct Manual, Global Languages will not tolerate retaliation against those making a report. Violations of the guidelines contained in the Ethical Conduct Manual, whether they are conducts that differ from the legislation, rules, regulations and/or procedural policies, as well as actions that characterize misconduct, must be immediately reported.
Examples of issues that can be reported include:
• Conflict of interests
• Fraud, corruption and bribery
• Psychological and sexual harassment
• Ethical deviations
• Leakage of data and confidential information.
IMPORTANT
Conflicts in relationships between employees must be communicated to the management, which is responsible for managing cases of this nature. If the management is unable to conduct such conflicts, it may rely on outsourced consultants.
Reports that involve relationship conflicts and that are not previously handled by the management will not be considered.
When filing a report, try to answer the following questions:
WHAT HAPPENED?
Provide detailed descriptions in the report/complaint.
WHO DID IT HAPPEN TO?
Enter the full name of the persons involved, especially witnesses, if any.
WHEN DID IT OCCUR?
Specify the dates on which the situation occurred or, if you are reporting something that is yet to occur, on which date it will occur.
WHERE DID IT OCCUR?
Describe in which unit, room or department it occurred.
WHAT IS THE TOTAL AMOUNT INVOLVED?
If possible, state the amounts involved in the case in question.
WHAT IS THE EVIDENCE? IS THERE ANY?
Describe if there is evidence and where it can be located. If you prefer, attach documents or other files to corroborate the existence of the evidence.
WHAT HAPPENS AFTER REGISTERING A COMPLAINT?
The complaints will be verified and analyzed by the administrative body in isolation, without other sectors being aware. The checks will take place over a period of 90 days, which may vary depending on the complexity of what was reported.
When the origin of the report is identified, the root cause analysis will be carried out to identify failures in the processes and then recommend actions to improve controls, thus reducing the risks of recurring irregularities. Educational and disciplinary measures will also be applied, based on criteria of intentionality, the principles of reasonableness and proportionality in relation to the severity of the case.
